INVENTORY CLERK
Job Summary
The Inventory Clerk is responsible for maintaining accurate inventory records and ensuring the efficient receipt, storage, issuance, replenishment, and monitoring of hospital supplies. The successful candidate supports uninterrupted patient care by ensuring inventory accuracy, minimizing stock shortages and wastage, and maintaining established inventory control standards.
The Inventory Clerk performs duties in accordance with Andrews Memorial Hospital’s Mission of “Extending Christ’s Healing Ministry” while demonstrating the organization’s Core Values of Quality, Integrity, Compassion, Commitment, Collaboration, and Accountability.
Duties and Responsibilities
- Manage and monitor stock levels and ensure inventory balances are accurate.
- Perform routine physical count of stock and compare with system record to identify and fix discrepancies promptly.
- Maintain accurate and timely inventory records using approved inventory management systems.
- Assist with the receipt of supplies and verify deliveries against purchasing invoices.
- Inspect deliveries for quality, damage, expiry dates and report such immediately.
- Label supplies received and stock shelves accurately.
- Process departmental supply requests using approved requisition forms and distribute supplies accordingly.
- Ensure supplies are issued using the First In, First Out (FIFO) principle and accurately document all inventory movement.
- Monitor minimum and maximum stock levels and report any low stock level to supervisor.
- Monitor inventory for expiry dates and report such immediately.
- Assist with replenishing stock as necessary
- Ensure supplies are stored safely, securely, and in accordance with manufacturer recommendations.
- Maintain compliance with hospital inventory procedures, safety and infection control standards, quality assurance requirements, and confidentiality policies.
- Provide timely, professional, and customer-focused inventory support to hospital departments, including emergency requests as needed.
- Any other duties related to the role as assigned.
Academic qualifications and experience required for job:
- High School Diploma with a minimum of three (3) CSEC subjects including Mathematics and English Language and at least five (5) months experience working in merchandising or related field with relevant experience.
- An Associate Degree in Business Administration, Inventory Management, Accounting or Logistics would be an asset.
- Experience in a healthcare environment would be an asset.
- Experience using computerized inventory management systems is preferred.
- Be knowledgeable of and committed to the philosophy, principles and mission of the Seventh-day Adventist Church.
Required Skills/Abilities
- High level of integrity and ethical conduct.
- Proficiency in Microsoft Office, NetSuite applications, and inventory management systems.
- Knowledge of inventory control, stock management, inventory documentation, and medical supply handling practices.
- Strong analytical, problem-solving, decision-making, and organizational skills.
- Excellent attention to detail with accurate record-keeping abilities.
- Effective communication and customer service skills with the ability to work independently and collaboratively.
- Ability to work under pressure, adapt to changing demands, and exercise initiative and sound judgment.
- Willingness to accept responsibility and follow instructions effectively.
- Good physical health with the ability to safely lift items up to 60 pounds.
Working Environment and Schedule
- Hospital environment.
- Frequent walking and standing.
- Regular lifting, carrying, and moving of inventory.
- Use of inventory management software and office equipment.
- Exposure to storage areas and loading/unloading activities.
- May be required to work weekends, public holidays, overtime, or flexible hours during stock counts or emergencies.
- This position operates within a 24-hour, seven-day-a-week hospital environment. The Inventory Clerk will be scheduled to work rotating shifts, including days, evenings, nights, weekends, and public holidays, based on the operational needs of the Hospital. The successful candidate may be assigned to perform inventory management duties in various inventory and storage locations throughout the Hospital and is expected to maintain flexibility to support service continuity during periods of increased operational demand, emergencies, and scheduled stock counts.
